Bulk Upload: How to prepare your CSV file (troubleshooting guide and FAQ)

This article will help you sort through any problems you may encounter with your CSV file and answer the most common questions.

Troubleshooting Guide

There are more classes in my file than in my subscription

  • Make sure there are no misspelled class names. Our system counts every unique name as a new class
  • Double-check that the number of classes matches the number you have remaining in your subscription
  • You can verify the number of remaining classes you have left in your subscription near the top of the page. You may need to remove some classes from the file

If you need classes added to your subscription, please contact Customer Support.

Conflicting classroom information in your file

This means that Insights has recognized the name of a class but the Year Group doesn't match what we have on record.

  • Check to see if you’re uploading to the correct academic year
  • If you're trying to re-use a class name in more than one academic year, try copying over the class through Insights instead

There are too many pupils in the file

By default, your subscription plan allows up to 40 pupils per class.

  • Make sure to name your classes so we know how to divide up your year groups

If you need to increase your class-size limit, please contact Customer Support.

There are duplicate pupil IDs in the file

Pupil IDs are unique identifiers for your pupils. We recommend sticking to an ID system that you can refer back to. Insights will be able to store your pupil’s assessment journey as they progress through the years.

Too many formatting errors in the file

Unfortunately, if Insights detects more than 25 formatting errors in your file, it won't accept the file.


Frequently asked questions

Can I upload a file without creating classes?

Yes. When preparing your file, you may leave the Year and Class columns empty. Insights will be able to create a new pupil profile (or update an existing profile) based on the required details. After upload, you can assign them to a class at a later time.

Is there an option to simply update existing pupil profiles using a CSV file?

  • Upload a spreadsheet file as you would with a new group of pupils
  • If you leave the Year and Class columns empty in your file, Insights will not take any action on assignments
  • As long as the pupils you’re updating already exist on Insights, we’ll match their IDs and compare your changes

Note: After uploading, your pupil information will be overwritten and you won’t be able to retrieve older data.

Can I upload a file to perform a school rollover?

There’s no need to upload a new file. If the pupils already exist on Insights from any previous academic years, we recommend creating a new class and assigning your pupils, or copying over an existing class.

How do I format my CSV file for mixed-ages classes?
